Delete your ShelterSync account
This page explains how to delete your ShelterSync account and the personal information held with it. ShelterSync is published by Zoolytix Inc.
You can request deletion here whether or not you still have the app installed, and whether or not you can still sign in.
Request deletion
If you can sign in
In the mobile app — open Profile, then tap Delete your data.
On the web — sign in at app.mysheltersync.com, open your profile, and choose Delete your data.
Either route lets you choose what to remove:
- Leave one or more shelters — removes your information from those organizations while your sign-in stays intact, so you can keep volunteering elsewhere.
- Delete your ShelterSync account entirely — removes you from every organization and destroys your password, devices and two-factor setup.
You confirm with your password, because deletion becomes permanent and should not be something an unattended device can do.
If you cannot sign in
Email platform@zoolytix.com from the email address on your account, with the subject Delete my ShelterSync account.
Tell us whether you want to leave specific shelters or delete your account entirely. If you no longer have access to that email address, say so and we will verify you another way.
We verify every request against the contact details already held on the account before acting on it. A deletion we cannot undo must not be triggered by somebody impersonating you, so this step is not optional — but it is ours to do, not a burden we put back on you.
You can also ask the shelter you volunteer with to record the request on your behalf. They can start it; only you can confirm it.
What happens next
Access stops immediately. The irreversible removal completes within 30 days, and copies in our encrypted backups expire within 35 days.
You have 30 days to change your mind. Signing in during that period will not give the Services back, but it will let you cancel the deletion, which restores your account completely. We email you when a request is accepted, and again before it becomes permanent, so a request you did not make cannot pass unnoticed.
What is deleted, and what is kept
Deleted: your name, email address, phone numbers, postal address, date of birth and profile photo, including the stored image; and your password, PIN, sign-in sessions, registered devices, two-factor enrolment and one-time codes.
Kept, with your identity removed: the shelter's own record of its animals. An entry recording that an animal was walked, fed, fostered or transported on a given date is the shelter's operational and animal-welfare record. Those entries survive with no person attached to them — your name no longer appears on them and searching for you will not find them.
We say this plainly because it is the part people are most often surprised by: deleting your account does not erase the history of care an animal received.
Four narrow exceptions are kept despite a deletion request — encrypted security-accountability information, safety and injury records carrying their own legal retention, backup copies until they expire, and billing records where tax law requires them. Each is described in full in Privacy Policy §6.2, with retention periods in §6.3.
Before we can complete your request
If an animal is currently in your foster care, or you have an activity you started and did not finish, we cannot complete the deletion until that ends — an animal must never be in a home with no record of who has it.
This does not block your request. We will notify you of exactly what is outstanding, which animal or activity it concerns, and who to contact to resolve it, and the deletion proceeds once it is closed. If you are leaving several shelters and only one has something outstanding, the others go ahead without waiting.
Nothing else needs to be cancelled first. ShelterSync has no subscription, payment or in-app purchase for volunteers to unwind — the organization you volunteer with pays for the service, not you.
